Copies of the User's Manual may be made for training purposes or for each user in a network environment; however, these copies must be collected and kept together after their use. Version 5.a Information Forum is pleased to provide you with RaceTrak, Version 5.a. The enclosed CD includes the following: * RaceTrak setup file * Multi-Timer.zip DEMO USERS: Please note that Race Import and MultiTimer programs are NOT included in Demo versions. Also, demo versions are sometimes not the most current version. Version 5.0a includes several enhancements and a host of new features. Please consult the user manual addendum and these notes for these features. Brief guidance for RaceTrak is provided below. Step 1 - RaceTrak Installation The complete RaceTrak system is shipped on a single CD-ROM and includes two major components: the main RaceTrak programs and the MultiTimer program (which allows the PC to act as a timer). Please note that the demo version does not include bar code fonts, the RaceTrak time Transmit, or the MultiTimer program. In addition, the RaceTrak demo is generally a version behind the current release. If re-installing, always back up your data file, and then uninstall the previous version of RaceTrak. To install RaceTrak: From the Start Menu, choose RUN. Type d:\RaceTrak\setup (where "d" is your CD-ROM drive) Press ENTER and follow screen instructions. To install MultiTimer (requires an unzipping program, not in Demo): Create a Program Files/MultiTimer directory. Unzip MultiTimer to the MultiTimer directory. Read Readme.txt file in the MultiTimer directory. Step 2 - Use the Tutorial The RaceTrak CD includes a tutorial (in Tutorial directory) that guides you through many RaceTrak features. Users who have Microsoft PowerPoint can run the tutorial from Explorer by double-clicking the RaceTrak_Quick_Start_Tutorial.ppt file. Use View Show from the PowerPoint Menu for best display. Users who do not have PowerPoint, can install the included Viewer. From Explorer double-click the pngsetup.exe file and follow on-screen instructions. The following files will be installed on your computer: playlist.lst, ppview32.exe, and racetr~1.ppt. Step 3 - Read the Manual The RaceTrak User's Manual provides all the information you need to know to manage a race. While most race management activities are intuitively obvious, the User's Manual provides background information, tips, and important notes on how to utilize RaceTrack properly. Please note that the User's Manual (RaceTrak_05_User_Manual.doc) is installed from the CD in Microsoft Word 97 format into your RaceTrak directory. Users who do not have Word 97 can review the on-line Help file (RaceTrak_05_Help.hlp), also available in your RaceTrak directory. The Rules of the Road, Quick Start, and RaceTrak Checklist sections provide overviews of the major RaceTrak activities. The RaceTrak Checklist section of the User's Manual is repeated in the column on the right. Step 4 - Use OnLine Help Online help is available on most all RaceTrak screens. Please note that help is not available for Race Transmit functions. Online help information is identical to that in the User's Manual and can be accessed by pressing [F1] from any RaceTrak screen. Use Select Topics in the online help system to allow topic and word searches. Step 5 - RaceTrak Checklist After installing the RaceTrak software and its components, you are ready to begin setting up and managing races. Before conducting a "live" race, we strongly urge you to set up some test races and become comfortable with RaceTrak and its features. Provided below is a brief checklist of how to set up and manage races. · Set up a new race in the Manage Races module: · Create a new race record. · Generate a range of bib numbers. For large races, set up dummy bib numbers for bandits. · Set up Awards records (if required). · Set up Team Categories and Teams (if required). · Set up Series (in Utilities module) and add the race to a series (if required). Register runners in the Registration module: · Select the desired race. · Search for runner in the database. · If the runner is in the database, select OK; if runner is not in the database, select ADD NEW. · Complete information as necessary. · To accommodate bandits, register several dummy bandits prior to the race. Process results in the Results Processing module: Select the desired race. If an external timing device is used, perform the following activities: 1. Transmit the timing data to RaceTrak via the Transmit module. 2. Import the results into RaceTrak format via the Import module. 3. Scan bibs via the Scan Bibs module. 4. Reconcile and load/merge the results via the Reconcile function. 5. Disqualify any bandits or other runners as desired in the Race Results Management Screen. 6. Process places and team scoring via the Calculate Results function in the Results module. 7. Assign awards via the Awards module. If neither an external timing device nor the MultiTimer is used, manually enter results as follows: Use Manual Device (in Utilities) to create a new "device" and chute. Exit and go to Reconciliation and select the Device just created. Add the first two times in the Device Data Screen. Then, use time entry functions (Interpolate or Manual Data Entry via INSERT in Reconciliation) to add more times quickly. Continue with steps 3-7 above. -- or -- · Use Quick Scan in Utilities to type a bib and then a time and follow steps 5-7 above. -- or -- · Manually type times in the Results module and follow steps 5-7 above. -- or -- · Manually type times in the Registration screens and follow steps 5- 7 above. Print reports from the Reports module, Labels module, or from the specific module where reports are available. CUSTOM REPORTS RaceTrak v5 provided the capability for users to utilize customized reports, which - once setup - are available for use in Reports/Queries. To use these reports, go to Utilities - Custom Reports, and add the reports. Please consult the RaceTrak User’s Manual for more information regarding the setup of reports. You will need to provide a name, description, MS Access Report Name, and Report Type. Important: the MS Access Report Name must exactly match the name provided below. · y_Abooma_qry - outputs data (Bib Number, LastName, FirstName, Street1, ZipCode, City, State, Country (always USA), Sex, AgeRaceDay, OfficialResultTime, and Pace) in spreadsheet format · y_Abooma_Adjusted_qry - outputs data (Bib Number, LastName, FirstName, Street1, ZipCode, City, State, Country (always USA), Sex, AgeRaceDay, Adjusted Time, and Adjusted Pace) in spreadsheet format · y_Agate_qry report, which prints finishers in paragraph style with choices for data to display: 1. Jim DiSciullo, Columbia, MD; 2. Joe Smith, New York, NY; 3. Fred Flinstone, Bedrock, BC; · y_announcer_rpt - prints bib, name, and hometown in three columns on page. Sorted by bib number. · y_announcer_team_category_rpt - prints bib, name, and team in three columns on page. Sorted by bib number, grouped by Team Category. · y_email_team_rpt for use in building an email list grouped by teams emailing for past participants in a race. · y_lap_relay_individual_lap_rpt provides details of all runners in race, showing runner name, team name, gender, age, lap number, and the elapsed time for the lap. Sorted in lap order. · y_lap_relay_individual_pace_rpt provides a summary or detailed view of the total splits/laps run by an individual. Sorted by pace per mile from lowest to highest. In Summary mode, displays runner name, team name, gender, age, total number of laps, average time per split/lap, and pace per mile. In Detailed mode, displays above info, plus times per lap. IMPORTANT: to correctly calculate split/lap average time and the split/lap pace, be sure to specify the distance of the split/lap distance in Utilities and be sure to associate all split/laps to the appropriate distance in Manage Races - Race Splits. · y_lap_relay_individual_rpt provides details of all runners progress in race, showing runner name, team name, gender, age, lap number, and the elapsed time for the lap. Sorted in order of lap time. · y_lap_relay_individual_total_rpt provides a summary or detailed view of the total splits/laps run by an individual. Sorted by total number of laps from highest to lowest. In Summary mode, displays runner name, team name, gender, age, total number of laps, average time per split/lap, and pace per mile. In Detailed mode, displays above info, plus team member results (runner name, sex, age, team lap, clock time, and lap time, sorted in clock time order. · y_Race_Division_Count_rpt provides counts of registrants by divisions in a given race. · y_qry_brightroom lists valid addresses and email for finishers in Brightroom requested format · y_team_as_category_rpt that removes word "team" for races that use Teams for special categories. · y_race_team_all_finisher_rpt to show all finishers (not just scorers and displacers) for a Team. · y_race_team_roster_summary_label_rpt - intended as packaging labels for teams, prints team name, total team registrants, race name, team category, race date, and race distance on page label stock (30 per page). Sorted by team name, grouped by team category. · y_registration_address_by_date_rpt allows users to build list of runners' addresses through date range selection. · y_RegistrationAlphaHot_rpt: same as standard registration report, but removes Wave, Team, and Chip columns and changes to Portrait. Allows user to decide if DOB is shown on report. · y_rpt_missing_chip which shows chips in finish files that were never registered to a runner in the current race · yAge_Group_Results_Grouped_rpt that groups by Division, then Age group, showing order of finish for the age group. User MUST set Award Categories in Utiliites to reflect which Award Categories are Age Group Awards. · yAge_Group_Results_rpt - prints (no preview) results (with pace) in finish order and lists each runner's position in gender and in age group category. Note: age groups must be set up and this report does not distinguish between divisions. · yAge_Group_Results_File_rpt - intended for file output (use yAge_Group_Results_rpt for printing). Provides preview of results in finish order (with pace) and lists each runner's position in gender and in age group category. Note: age groups must be set up and this report does not distinguish between divisions. · yAge_Group_Results_Grouped_Adjusted_rpt shows results for finishers by adjusted times grouped by race award categories. Groups by division. Within division, groups by award category. Shows place in award category, adjusted place, name, hometown, sex, age, pace, time. · yAnnapolis_Finisher_Mail_Labels_rpt that prints labels for finishers for a race in Alpha order. · yAnnapolis_Fastest_AA_Female_rpt that prints Anne Arundel County females by chip time. · yAnnapolis10MAlphaGroupBySex_rpt - registered runners grouped by gender sorted by name. · yAnnapolis10MMedical_rpt - registered runners with contact information sorted by name. · yAnnapolis10MMedicalEntryNotes_rpt that provides contact information that is in Entry Notes field. · yAnnapolis10MRegistrationShort2Column_rpt - registered runners in bib number order. Prints across two columns per page, with bib, name, hometown, sex, and age. Saves paper. · yAnnapolisA10ChipLabel_rpt - used for chip packets, prints runner name and runner DOB in large bold font onto labels. Also prints runner bib, sex, and chip assigned to runner as well as address information. User selects sort order. · yAnnapolisAllBibAllChipByBib_rpt - in 4 columns, lists the bibs and chips as set up in the bib pool for the race. Sorted by bib number. Used to match chips and bibs. · yAnnapolisAllBibAllChipByChip_rpt - in 4 columns, lists the chips and bibs as set up in the bib pool for the race. Sorted by chip number. Used to match chips and bibs. · yAnnapolisBibChipByBib_rpt - - in 4 columns, lists the bibs and chips that have been assigned to the runners for the race. Sorted by bib number. If a runner owns his/her own chip, this chip will be listed. · yAnnapolisBibChipByChip_rpt - in 4 columns, lists the chips and bibs as that have been assigned to the runners for the race. Sorted by chip number. If a runner owns his/her own chip, this chip will be listed. · yAnnapolisRaceResultOverallAdjustedHotNoHeader_rpt - prints results in Adjusted time order in small font without any headers or footers. Used in large races to save paper; also a good report to use for file output. · yAnnapolisRaceResultOverallHot_rpt - prints results in Finish (gun) time order in small font with headers or footers. Note: if race has 2 divisions and these divisions are of different distances, pace data will be incorrect for one of the distances. Workaround: Run report twice, one for each division and only print the pages from the desired division. · yBar_Code_Label_Hometown_rpt - prints 1 by 2.625 labels with runner name, bib number, bar coded bib number, division, shirt size, and city for each runner. · yBar_Code_Label_HS_rpt - prints runner name, bib number, team name, team category, and bar coded label on page label stock (30 per page), sorted in bib number order. · yBar_Code_Label_Large_Font_rpt prints following information in 10 point, upper case: Bib and Name on first row; Sex, Age, Hometown, and Shirt Size on second row, and bar code on third row. · yBar_Code_Label_LName_Fname_rpt to print bar code labels with LName, Fname · yBar_Code_Label_Toledo_rpt prints labels with Lname, Fname on first line, print Sex:Age and Division, ShirtSize, and Team on second line, and print Bar Code on third line. · yChipOwnerForRace_rpt - prints bib, name, address of runners who use their own chip in a race. Sorted by name. · yChipOwnerForRaceLabel_rpt that provides labels for Chip Owners using their Owned Chip in a selected race. The labels show Name, Gender, Age, Bib, RaceChip (the chip expected to be run with), ChipOwnerChip (chip owner's chip), BibChip (chip from chip file), and Address information. · yChipUnusedLabel_rpt prints unused Bibs and their Chips. · yChipUnusedLargeBibLabel_rpt prints unused Bibs (in 16pt font) and their chips. · yClydes10KChipLabel_rpt - for chip races, prints labels with Runner Name, Bib, RaceChip, and Address. If runner using own chip, prints that chip in red (when color printers used). · yClydes10KChipLabel_2_rpt that prints labels with Bib, Name, Age, Sex, Race Chip, and Chip Owner Chip (in Red). · yClydes10KChipLabel_3_rpt that prints labels with Bib (in 16pt font), Name, Age, Sex, Shirt Size, Race Chip, and Chip Owner Chip (in Red). · yClydes10KChipLabel_4_rpt that prints labels with Bib in large font, with runner name, age:sex, shirt size, and displays up to 3 chips. · yNapaRegistrationAddress_rpt - prints registered runners with mailing addresses and phone numbers in name order. Uses smaller font to save paper. · yNapaRegistrationAlphaPortraitSummary_rpt - prints registered runners with bib, name, sex, age, DOB, Hometown, Shirt Size, and Chip number. Sorts by name. Sorts by team score from lowest total team score to highest team score within a team category with all team members. · yRaceTeamRosterGrade_rpt - lists team members with scholastic grade. Separates teams with a page break. · yRaceTeamRosterGradeNoPageBreak_rpt - lists team members with scholastic grade. No page breaks between teams to save paper. · yRaceTeamRosterResult_rpt - shows all non-disqualified finishers for teams and can be used to see all finishers on a team (not just scorers and displacers). · yRegistration_Fee_Union_rpt - provides the total fee amount from RaceTrak’s Registration total plus the total fee amount from data imported from online services. · yRegistrationAlphaNoChip_rpt shows Registered runners info: bib, name, sex, dob, age, hometown, shirt size, race division, wave, team, and entry notes sorted alphabetically by runner name. · yRegistrationAlphaWinningTime_rpt is a registration report that extends the chip field to show the complete Winning Time chip on a single line. · yRegistrationFeeDetailed_rpt - lists runner, gender, hometown, and total amount paid within a given race. Sorts by highest amount paid to determine largest donation for a given race. · yRegistrationWave_rpt groups registrants by wave time. · yRegistrationWave_2_rpt that shows Bib, Name, Sex, Age, Team and is grouped by Wave, showing wave offset time. · yRegistrationWyomingValley_rpt displays (in landscape) Registrants information (Bib, Name, Address, City, State, Zip, Age, and Sex in alphabetical order. · yResult_Adjusted_Short_rpt displays Adjusted Place, Runner Name, Age, Sex, Hometown, and Time. · yResultPaceAdjustedWyomingValley_rpt displays (in landscape) Result information (Adjusted Place, Bib, Name, Address, City, State, Zip, Age, Sex, AdjustedTime, AdjustedPace) in Place order within Division. Note: if race has 2 divisions and these divisions are of different distances, pace data will be incorrect for one of the distances. Run report twice, one for each division and only print the pages from the desired division. · yResultPaceWyomingValley_rpt displays (in landscape) Result information (Gun Place, Bib, Name, Address, City, State, Zip, Age, Sex, GunTime, GunPace) in Place order within Division. Note: if race has 2 divisions and these divisions are of different distances, pace data will be incorrect for one of the distances. Run report twice, one for each division and only print the pages from the desired division. · yTennessee_Person_Races_rpt - lists runners who have participated in three specific races. Not useful for most RaceTrak users. · yUnused_Bib_Chip_Label_rpt - for chip races, prints unassigned bib numbers and their associated chips. · yWorldOfColorLabel_rpt - address labels that print in bib number order, listing the bib number, race abbreviation, and address data for all runners registered in the race. · yWorldOfColorPlaceBibSexAge_rpt - companion report to yWorldOfColorLabel_rpt that prints in guntime order, the runner place, bib number, sex, and age race day across several columns. ******************************************************************************************* III. KNOWN ISSUES 10 MAY 2002: · TimeTech Sprint 8 select bib numbers may get appended with an extra 0 when select bibs are recorded while transmit mode is suspended. For example, operator may type bib 88, but bib 880 will be presented. · Series scoring is not properly calculated if a race is attached to more than one series. · Time Transmit drops 2-3 times per 1000 runners when using TimeTech/Sprint 8 in Batch Mode; users should consider using vendor provided ASCWIN program when needing to load time after race has been completed. Fix in place as of v5a.032 and being tested by users. · Chronomix users report that times are being dropped when transmitting times in Batch mode after race. Fix in place as of v5a.032 and being tested by users. 13 OCT 2002: · The Triathlon Adjust report fails with unanticipated data, such as a number in the Split Name. This is being investigated. · Under Windows XP, when saving data to Excel, users get error that worksheet name is invalid; however, if user continues, the spreadsheet is built. 05 APR 2003: · RaceTrak requires a true RS232 Serial Port (or Comm Port) to communicate with timing devices such as the Time Machine, Chronomix, and TimeTech/Sprint8 as well the ChampionChip GES Reader. Many new laptops do not including serial ports. Such machines will require a Serial to USB connector or a PC card such as the Serial I/O PC Card model number SL0700-004 offered by Socket Communications, Inc., at http://www.socketcom.com/product/serial.asp. ******************************************************************************************* IV. RECENT UPDATES 10 May 2002 v5a.004 · The initial release of v5a (5a.004) was completed. · New report (Pt Standings) to total series scores by individual (not grouped by award category) was added to Utilities - Series screen. 02 Sep 2002 v5a.007 · Added common dialog box to open up familiar Windows "find file" dialog to save time when user attempts to open or save files. · Added new label creation program to allow user to select one or more ranges of zip codes by a selected date range. This label program also allows user to selectively Show/Hide Active Club Members, Keep/Remove Duplicate Addresses, Show/Hide Gender, Show/Hide Date of Birth, and Show/Hide Shirt Size. This program is available in Manage Runners using the Zip Range Lbl command button. · Sped up Registration screen display when custom settings are used. · Removed Phone Number mask that required a given format in US standard phone fields. This became an issue as the import of Online data did not conform to this mask, which caused error messages to appear. Note: this change will result in phone numbers appearing as only numbers (e.g., 4107301234) on entry screens, but does not impact report output. · Combined much common code and reduced overall size of RaceTrak_05.mde. · Added functionality to handle files sent from Chip company that identify known missing chips. This function is available from Utilities - Selected Race - Chip Return by using the new mode "Record/Import Unreturned Chips." · Corrected error that was reported in Import Specification form that occured when user selected a Chip import type when race was not identified as a Chip Race. · Fixed Triathlon Adjustment Reports to correctly report elapsed time and place. · Added yBar_Code_Label_Hometown_rpt to produce a bar coded label with runner's hometown. · Made several changes to Time Transmit programs to reduce number of dropped times from 20 per 1000 to 2-3 per 1000 when using TimeTech/Sprint 8 timers. · Updated y_Age_Group_Results_File_rpt to use time plus hundredths so that excel output does not re-interpret times. · Corrected Winning Time quick import to read in the correct Chip Number value, which was formerly dropping a character. · Changed Manage Races - Runner list to display bib number. · Added error handler to Utilities - Data Import to more gracefully exit if import program cannot detect field name differences between specification and actual file. · Added Pace to yAge_Group_Results_rpt and yAge_Group_Results_File_rpt. · Significantly improved Award Processing speed, whose speed is now more dependent on the number of awards in a race instead of the number of runners. In testing a race with 70 awards and 1,200 finishers, now takes 12 seconds as opposed to former 62 secoonds.
